ID copies and powers of attorney end up in standard emails because an enterprise portal would create too many hurdles.
Exchange tenant data. Not as open email attachments.
Power of attorney, copy of ID, draft contracts and legal submissions arrive via a fixed secure link to your law firm. Clients need neither account nor app.
The file is protected. The path to the file often is not.
Confidential documents leave controlled law firm systems as soon as they travel through third-party inboxes and backups as regular attachments.
Each internal forwarding creates another readable copy and complicates control over deletion and access.
A shared inbox must not rely on shared passwords. Each person must have their own, revocable access.
A secure entry that feels like a normal link.
Name postbox
For example, "mandate documents", "notary", or "personnel". Protection level and deadline apply exactly to this incoming item.
Give the client the link
In the signature, on the contact page, or in the letter. Transmission happens without registration.
Authorized to open
In the Business team, a designated person takes over the process using their own account and security factor.
For individual processes and recurring entries.
Not an isolated solution: SchlüsselBot handles secure delivery. Case management, deadline tracking, and permanent archiving remain in your specialist software.
Send initial documents and identification to a neutral-named secure inbox link.
Deliver documents selectively once and optionally receive a receipt confirmation.
Grant postboxes to the whole team or selected individuals; removed members lose access instantly.
Business enables API access with limited rights and signed webhook events.
Technical protection measures clearly documented.
In Security Mode, the key remains technically outside SchlüsselBot; in the Comfort variant and certain secure inbox routes, transparently described limitations apply. Business provides contract documents.
Browser encryption
The message content is encrypted before transmission. The ciphertext lies on the Tresor server.
Passkey and one-time code
Postboxes can be protected using a code, account passkey, combination, second factor, or end-to-end passphrase.
Short retention
For each secure inbox, 24, 48, 72 hours or 7 days are configurable; the action deletes itself after the first retrieval.
No blanket legal guarantee: SchlüsselBot is prepared for DSGVO compliance. The legal basis, mandate context, authorization concept, and specific requirements are assessed by your law firm. View all restrictions
Briefly answered
Is the recipient required to register?
No. Direct recipients and external senders of a secure inbox do not need a SchlüsselBot account.
Can I withdraw a retrieval?
As long as a directly sent message has not yet been opened, a logged-in sender can withdraw it in the dashboard.
What happens when a team member leaves?
Removed users lose their Business license and access to shared secure inboxes immediately; their personal account reverts to Free.
A confidential client route does not need to look like a large law firm portal.
One link is enough – with clear permissions for your law firm and no account required for clients.
